Spanish Language Holidays – Cancellation and Refund Policy

Introduction
We understand that sometimes plans change. This policy is designed to be clear and fair for everyone.
Your Cancellation Timeline
If you need to cancel, refunds are calculated based on the total trip price:

📅 31 days or more before arrival:
Full Refund (minus €150 non-refundable deposit). -
📅 30 to 15 days before arrival:
50% Refund of the total trip price. -
📅 14 days or less before arrival:
No Refund available.
(Exception: If we resell your room, we will refund recoverable costs minus a €50 admin fee).
1. Notification of Cancellation
To cancel your booking, you must send a written notice via email to info@hablainstitute.com. Cancellation takes effect on the date the email is received by Habla Spanish Institute.
2. Booking Deposit
The €150 deposit secures your place on the trip and is strictly non-refundable.
3. Transferring Your Place
If you cannot attend, you are welcome to transfer your booking to a friend or family member up to 7 days before arrival, subject to a €50 name-change fee.
4. Leaving the Trip Early
Unused nights, activities, or classes cannot be refunded if you choose to leave the trip early or arrive late.
5. If Habla Cancels the Trip
In the unlikely event that Habla must cancel the trip, you will receive a 100% refund of all payments, including the deposit. Habla cannot be held responsible for external costs incurred by the participant (e.g., flights).
6. Force Majeure
In circumstances beyond our control (natural events, government restrictions, transport disruption, illness outbreaks, or similar), activities may be modified. Refunds in these cases will be limited to costs that can be successfully recovered from our third-party suppliers.
7. Responsibility & Conditions
- Habla Spanish Institute is responsible for organising the language programme, accommodation, and included activities.
- Participants are responsible for travel arrangements, insurance, and personal circumstances affecting attendance.
- Habla cannot be held responsible for missed arrivals due to flight delays, transport disruption, or personal situations.
8. Travel Insurance
We strongly recommend travel insurance to cover unexpected cancellations, illness, or travel disruption. It is the participant’s responsibility to ensure they are adequately covered.
9. Privacy Policy (GDPR)
Your personal data will be used only to organize your trip and will be kept safe and confidential in accordance with GDPR.
